Overview

Cutbooks is a bookkeeping organization tool for self-employed people who want to collect receipts, paystubs, mileage records, and related financial documents in one place. This Privacy Policy explains what information we collect, how we use it, how we handle Google user data, and how you can contact us.

Information We Collect

  • Account information, such as your email address, profile details, and authentication identifiers.
  • Financial organization records you enter, including income, expense, category, vehicle, mileage, and tax-planning information.
  • Documents you upload or import, including receipts, paystubs, odometer photos, PDFs, images, and email-derived proof documents.
  • Technical information needed to operate and secure the service, such as timestamps, sync status, error logs, and usage events.
  • Optional Gmail connection information, including your connected Gmail address, OAuth tokens, selected Gmail label, message IDs, attachment metadata, and imported message or attachment content needed to provide the Gmail import feature.

How We Use Information

  • To provide the app, including document capture, inbox review, expense tracking, income tracking, mileage tracking, and report generation.
  • To authenticate users, maintain accounts, prevent abuse, and protect the security of Cutbooks.
  • To import documents from a Gmail label when you choose to connect Gmail.
  • To extract fields from uploaded or imported documents when you enable OCR or automated processing.
  • To troubleshoot bugs, improve reliability, and respond to support requests.
  • To comply with legal obligations and enforce our terms.

We do not sell your personal information.

Google Gmail Data

Cutbooks requests access to Gmail only when you choose to connect Gmail in your account settings. The current Gmail permission is read-only access so Cutbooks can find messages in the Gmail label you configure, retrieve matching messages and attachments, and import receipt, paystub, or related document content into your Cutbooks inbox.

Cutbooks uses Gmail data only to provide and improve user-facing Gmail import and document organization features visible in the app. Cutbooks does not use Gmail data for advertising, retargeting, personalized ads, credit-worthiness decisions, lending decisions, or sale to data brokers or information resellers.

Cutbooks stores imported Gmail-derived documents and related metadata so you can review, approve, edit, and keep records in your account. OAuth access and refresh tokens are encrypted before storage and are used only to maintain the Gmail import connection you authorized.

Cutbooks' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Human Access To User Data

Cutbooks is designed so users review their own documents and extracted data. We do not allow team members, contractors, or support personnel to read your Gmail content or financial documents unless you ask us to help with a specific support issue and affirmatively agree to that access, or unless access is necessary for security, abuse investigation, legal compliance, or internal operations using aggregated or de-identified information.

OCR And Service Providers

If you enable OCR or document extraction, the specific document selected for processing may be sent to Veryfi or another document-processing provider so fields such as vendors, dates, totals, tax amounts, employer names, and pay amounts can be extracted. Service providers may process data only to help us operate Cutbooks.

We also use infrastructure providers for hosting, authentication, database storage, file storage, application monitoring, and email-related operations. These providers process information on our behalf for the purposes described in this policy.

Sharing And Transfers

We do not sell user data. We do not transfer Google user data to third parties except as needed to provide or improve the user-facing features you use, comply with law, protect security, investigate abuse, or complete a merger, acquisition, or sale of assets with appropriate user notice or consent when required.

Retention And Deletion

We keep account records and imported documents while your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, prevent abuse, and maintain backups. You can delete individual records in the app where deletion tools are available.

You can disconnect Gmail from Cutbooks in settings. You can also revoke Cutbooks' Google access from your Google Account permissions page. Disconnecting Gmail stops future Gmail imports, but documents already imported into Cutbooks remain in your account until deleted or your account is removed.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including encrypted OAuth token storage, authenticated access controls, and secure transport where supported. No system is perfectly secure, so we cannot guarantee absolute security.

International Processing

Cutbooks is operated from Canada, but our service providers may process and store information in Canada, the United States, or other locations where they operate. By using Cutbooks, you understand that your information may be processed in these locations.

Changes To This Policy

We may update this Privacy Policy as Cutbooks changes. If we make material changes to how we use Google user data or personal information, we will update this page and provide additional notice or request consent where required.
